Getting started
What do I need to use CalenDo?
An iPhone or iPad with iOS/iPadOS 26 or later, or a Mac with macOS 26 or later. CalenDo is free.
Do I need an account?
No. CalenDo has no sign-up. If you're signed in to iCloud, your tasks sync between your devices through your own iCloud account automatically.
How does quick add understand what I type?
Write a task the way you'd say it, like Dentist tomorrow 9am or Gym every Monday 18:00. CalenDo picks out the day, time and repeat and shows them as chips before you add the task. It works in English and German.
I used the CalenDo web app. Can I bring my tasks?
Yes. Open Settings › Import from CalenDo Web, sign in with your calen-do.de email and password and pick what to import. Your personal tasks and the shared calendars you own come along; share those calendars again from the app afterwards. Nothing is changed in the web app.
Sync and iCloud
My tasks don't show up on my other device
- Make sure every device is signed in to the same Apple Account and has iCloud turned on. On iPhone: Settings › [your name] › iCloud, and check that CalenDo is allowed to use iCloud.
- Check the status in CalenDo under Settings › Sync and tap Sync Now.
- Make sure you're online, your iCloud storage isn't full and Low Power Mode isn't holding back background work.
- Give it a minute: iCloud usually syncs within seconds, but can take longer on a slow connection.
What does “Re-download from iCloud” do?
Settings › Sync › Re-download from iCloud throws away this device's local copy and downloads everything fresh from your iCloud. It fixes a device that got out of step. Changes on this device that haven't reached iCloud yet are lost, so try Sync Now first. Your other devices aren't affected.
Can I use CalenDo without iCloud?
Yes. Without iCloud, everything stays on that one device. Sharing calendars and syncing between devices need iCloud.
Shared calendars
How do I share a calendar?
Open Settings › Calendars, pick the calendar and tap Share with Someone…. Send the invitation through Messages, Mail or a link. The other person needs an Apple Account and CalenDo on their device; once they accept, the calendar appears in their app. Use Manage Sharing… to see who's in, change permissions or stop sharing.
What do the roles mean?
- Owner: created the calendar and can stop sharing.
- Co-Owner: edits tasks and can invite or remove people. Turn on Allow others to invite for someone to make them a Co-Owner.
- Can make changes: participants who add, edit and tick off tasks.
- View only: participants who can see tasks but not change them.
- Only invited people can join. The link doesn't work for anyone else.
Who sees my name on shared tasks?
Tasks you add to a shared calendar show the name you set in Settings › You, so everyone knows who added what. Your personal calendars are never visible to anyone else.
How do I leave a shared calendar?
Open the calendar in Settings › Calendars, tap Manage Sharing… and remove yourself. If you're the owner, you can stop sharing there for everyone.
Voice brain dump
Which languages and devices does voice work on?
You can talk to Kalli in English and German. Speech recognition runs on your device on iPhone, iPad and Mac with iOS/iPadOS/macOS 26; the first time, your device may download the speech model for your language. Splitting what you said into neat, separate tasks works best with Apple Intelligence on supported devices (for example iPhone 15 Pro or later, and iPads and Macs with Apple silicon, with Apple Intelligence turned on). On other devices CalenDo uses simpler built-in rules.
Voice doesn't start
CalenDo needs access to the microphone and speech recognition. If you said no earlier, turn both on in the Settings app under Privacy & Security. Nothing you say is recorded or uploaded.
Widgets, Live Activity and Siri
How do I add a widget?
On iPhone or iPad, touch and hold the Home Screen, tap Edit › Add Widget and choose CalenDo: Today or Week. Lock Screen widgets and a Quick Add control for Control Center are there too. On a Mac, right-click the desktop and choose Edit Widgets.
How does the focus timer Live Activity work?
Touch and hold a task and choose Start Focus, or ask Siri. The timer appears on your Lock Screen and in the Dynamic Island, and you can complete the task right from there. If nothing appears, check that Live Activities are allowed for CalenDo in the Settings app.
Can I see my Apple Calendar events?
Yes. In the calendar view, turn on Show Apple Calendar events and allow access. CalenDo only reads events to show them next to your tasks; it never changes them. You can choose which calendars to show.
Reminders and the daily summary
Set a reminder in each task. The optional Daily Summary in Settings › Notifications sends a short, friendly note about your day at the time you choose, written on your device.
Your data
Can I export my data?
There's no export file yet. Your data is always in your own iCloud and syncs to all your devices, so it isn't tied to a single phone. If an export would help you, tell us.
How do I delete my data?
Delete single tasks or a whole calendar in the app (Settings › Calendars › [calendar] › Delete Calendar). To remove everything from iCloud, open the Settings app › [your name] › iCloud › Manage Storage › CalenDo and delete its data. Deleting the app removes the data on that device. We hold no copy anywhere.
Where can I read the privacy policy?
Here: Privacy Policy. In short: no account, no tracking, and your data stays in your iCloud.
How do I change the language?
CalenDo speaks English and German and follows your device. To change it just for CalenDo: on iPhone, Settings › Apps › CalenDo › Language; on a Mac, System Settings › General › Language & Region › Applications.
